Making a Reservation

You may book your reservation in one of several ways:

Our toll-free hotline, 1-877-884-2522, has reservation agents available Monday thru Saturday (excluding select holidays) between 9:00 and 5:00 Eastern Standard Time.

A Beach Place Realty offers our rental properties without respect to the race, color, religion, sex, national origin, and handicap or familial status of any guest.

Once a reservation has been made, a rental agreement will be mailed or emailed to you. The rights and obligations of the parties to this agreement are defined by law and include unique provisions. Your signature on this agreement, or payment of money, or taking possession of the property after receipt of the agreement, is evidence of your acceptance of the agreement and your intent to use the property for a vacation rental.

Upon receipt, please review, sign and return to our office within 7 days with your rental deposit. Failure to sign and return the rental agreement and deposit required by the due date specified will result in automatic cancellation of your reservation. THE FINAL BALANCE IS DUE 30 DAYS PRIOR TO YOUR RESERVATION DATE. Mark your calendar, as you will not receive a reminder for balance payment.

Personal checks will be accepted for payments only if we have a 15-day period to process the check. All other payments should be made by money order, cashiers check, cash or credit card. We accept Visa, Mastercard, Discover and American Express. Any returned checks are subject to a $25 charge.

All reservations will be assigned a confirmation number. Referencing this number on all correspondence and payments will help insure that your questions are answered fully and that all monies are correctly posted to your account.

All information collected to make a reservation i.e. mailing address, phone number, email address, etc. is considered confidential and not shared without your permission.

Rental Week: Our rental week is from Saturday to Saturday or Sunday to Sunday (depending on the owner) during the summer season. During the off-season we offer partial week rentals (3 night minimum) and monthly rentals on some properties.

No Smoking: Tenants & their guests understand that smoking is prohibited in the cottages unless, otherwise stated. A Beach Place Realty reserves the right to cancel occupancy plus charge $500 if smoking is discovered in the cottage.

Pets: Pets are allowed in select cottages with an additional nonrefundable pet fee. A Beach Place Realty reserves the right to cancel occupancy plus a $500 charge if a concealed pet is found in an unauthorized property.

Security Deposits: Some of our property owners may require a refundable security deposit. The security deposit is security against damages caused during your stay. Please report to our office any damages upon your check in. Once you have checked out, our inspectors will ensure that the property has been left in proper order and damage free. The tenant will be held liable for any damage, breakage, charges for repair, excessive cleaning, long distance telephone calls, concealed pets, exceeding maximum occupancy, etc. in excess of the security deposit collected. In accordance with the North Carolina Tenant Security Act, deposits are refunded within 45 days of your departure.

Accidental Rental Damage Insurance: A Beach Place Realty includes Accidental Rental Damage Insurance for all of our guests. The Accidental Rental Damage Insurance covers the guest for up to $1,500 if the property or its contents are damaged during the guest’s stay, subject to policy terms and conditions. The guest is responsible for immediately reporting any property damage upon check-in. The guest will not be released from liability for damage due to the following:

  • Intentional, willful, reckless, or malicious acts of the Guest or others on the premises during the tenancy
  • Excessive damage by pets
  • Theft from the premises of the owner’s property
  • Damage caused while under the influence of alcohol or drugs
  • Damages to real property resulting from operation of any motorized vehicle by the Guest
  • Damages related to smoking in a property
  • Damages related to tampering with “Irrigation Systems and Controls” or “Audio/Video/Internet wiring or component programming” within a property
  • Gross negligence of Guest or intentional misuse of furnishings, appliances, equipment, or other amenities provided within the home

Some charges may apply if departure procedures are not followed.

Mandatory Departure Cleaning: All rentals include a mandatory departure-cleaning fee within the weekly rental rate. We ask that you have all dishes clean and put away, garbage removed from house, placed in roll cart and pushed to within 2 feet of the street and all beds must be made. The housekeepers will handle the rest! If excessive cleaning is required due to failure to follow specified rules an extra charge will be charged to the tenant.

Reservation/Booking Fees and Taxes: A $145 non-refundable booking fee will be charged on every reservation. All rentals are subject to a 6.75% North Carolina sales tax (7% in Onslow County) and an additional 6% Local Accommodations Tax.

Cancellations: If you cancel your reservation, NO REFUND will be made until property is re-rented and confirmed. All cancellations must be in writing. If you cancel and the unit is re-rented for the full amount, the full rental amount paid, plus any pet fee, will be refunded within three weeks of receiving payment on the new reservation (after that payment clears our account). The reservation fee and insurance premium are not refundable.  If the unit is not re-rented, you will be responsible for the entire rental amount plus tax.

Trip Cancellation Insurance: A Travel Guard travel insurance plan can help cover your vacation investment, offset expenses from travel mishaps and provide you with emergency travel assistance.  Travel insurance is available from Travel Guard Group, Inc. at a cost of 7% of trip cost. Hurricanes: If State or local authorities order a mandatory evacuation of an area that includes the rental unit you have rented, the tenant shall comply with the order. Upon compliance, the tenant will be entitled to a refund in accordance with the North Carolina Vacation Rental Act. According to the N.C. Vacation Rental Act, in the event of a mandatory evacuation, “The tenant shall not be entitled to a refund if: (i) prior to the tenant taking possession of the property, the tenant refused insurance offered by the landlord or real estate broker that would have compensated him or her for losses or damages resulting from loss of use of the property due to a mandatory evacuation order; or (ii) the tenant purchased insurance offered by the landlord or real estate broker.” This means that no refunds will be given by A Beach Place Realty if you either buy or refuse to buy insurance.

Refunds: Simply stated, once you have entered into a contract to rent a property, you are binding yourself to that property for that time. There should be no expectation of compensation or relocation because you don’t like the property or something in the property isn’t working to your satisfaction. Unlike a hotel, we cannot relocate you without specific authorization from the cottage owner. We will make every effort to correct any malfunctions or problems encountered, but no refunds should be expected.

Check-In: Check-in time is firmly set from 4:00 PM – 5:00 PM (or later if necessary). Many houses are ready by 4:00 PM, but even houses ready by 5:00 PM are not considered to be late. Most of our larger houses are ready closer to 5:00. Please do not buy groceries before check-in. We cannot let you into homes that are not ready, nor can we provide refrigeration facilities. Two sets of keys will be issued at check-in unless the property offers keyless entry. For security reasons, we have a limited number of keys available.

There will be a $25.00 non-refundable fee for lockouts after hours. No one will respond to a lockout call after 10:00 PM.

Tenant agrees to keep the home in good, clean condition and to report any damages to plumbing, pipes, fixtures, appliance, electrical systems, heating and/or air conditioning systems, and interior and exterior of the cottage and to pay for damages and/or missing property on demand. Tenant accepts responsibility for acts of his/her children, guest & visitors. Any cleaning or damages found upon arrival must be reported immediately to our office staff. Any problems MUST be reported within 24 hours of check-in. If not reported, we must assume everything is acceptable and in good order upon check-in.

Checkout: Check-out time is no later than 10:00 AM SHARP! Keys must be returned to our office unless the home includes keyless entry. Late checkouts will be charged for an additional night. There is an automatic $25.00 replacement charge for each key set lost or not returned at the time of your departure.

Telephones: Telephones may be provided for your convenience in some properties. Please review your rental agreement for details. Long distance calls must be charged to a credit card unless free long distance service is provided by the property owner. Long distance calls charged to the cottage (including directory assistance) will be billed to you plus a $5 per call service charge.

Messages: Messages and mail will be posted in our office. It is your responsibility to check for them daily. Our staff will deliver emergency messages to you as soon as possible.

Repairs: We cannot guarantee against breakdown on air conditioners or other appliances. There will be no relocations, rental rate pro-ration or refund in the event of problems beyond our control. We will make every effort to have repairs done quickly and efficiently. Sometimes it may be necessary for our staff or an outside service to enter the rental unit during reasonable hours to service equipment or perform minor repairs. There will be a charge to the tenant if we call a repairman and there were no repairs necessary.

Homeowners Association Rules: Tenant agrees to abide by any applicable Homeowners Association rules or Owner’s rules posted in the premises.

Rental Units for Sale: Some of our rental units are FOR SALE. If you are staying in a property that is for sale, every effort will be made to schedule any showings on a turnover day so as not to intrude on your vacation. If it is necessary to show the house during your stay, you will be contacted by our property management staff. We appreciate your cooperation. House Parties: HOUSE PARTIES ARE NOT ALLOWED! We reserve the right to refuse occupancy to a suspected house party and evict guests without refund. The person who made the reservation will be held liable for any damages to the house and shall be subject to criminal and/or civil prosecution. You must be 25 years of age, with proof of age, to rent a cottage. We reserve the right to refuse service to anyone without proper identification.  OVER OCCUPANCY in a property constitutes a material breach and Guest will be subject to immediate eviction with no refund.

Next Year Reservations: Reservations for the next year will be taken on weekdays, one year in advance. Current year guests have priority to rent the same house for the same week of the next year. These priority reservations must be made by check-out time on Saturday or Sunday.

All reservations made for the next year are considered tentative. Owners have until December 31st to reserve their personal weeks and confirm rates, so you are not guaranteed the week or the rate. You will be notified as soon as we know of any changes to your reservation.

Leases will be mailed in January, and must be returned by January 31st with the deposit due (half of rental rate plus all applicable fees and travel insurance premium), or the reservation will be automatically cancelled without notice.

Other Terms and Conditions: In the event of a dispute or any action relating to the rental agreement with A Beach Place Realty, legal action may only be instituted in the County within which the rental property is located (Onslow or Pender). Tenant and all members of the tenant’s party specifically consent to such jurisdiction and to extraterritorial service of process.
